FileTrail contains far too many features and configuration capabilities to list. Here are a few of the
most important capabilities found in the core product and add-on modules. Many more of these can be seen

Records Automation
FileTrail provides extensive functionality for creating, classifying, editing, circulating, searching,
and retrieving records related to active and inactive records. The combination of functionality,
configurability and flexibility help organizations quickly implement “best practices” records management,
save labor and increase control with the least amount of time and effort.
Classification Management
FileTrail provides an unlimited user-defined Classification system with easy-to-use configuration
tools. The structure of your organization, records categories, and filing systems are easily reflected
using your terminology. FileTrail generates a formal File Plan report to document decisions and support
future reviews.
Retention Schedule & Disposal
FileTrail’s FTRention module provides powerful retention schedule and destruction overrides to help
organizations apply and document formal retention policies. Records are managed through active,
inactive, and disposal stages, incorporating activity and event-driven retention. FileTrail records
all archiving and disposition events, logging the who and when of each action.
Easy Integration
FileTrail FTConnect module provides automatic synchronization with upstream system resources. Configuration
tools allow multiple connections to be established with multiple data sources. Execution can be manual,
scheduled, or triggered by external events. Integration includes integration with accounting systems, ECM,
HR, Practice Management, Docketing, Library, and many others.
File Room Management
FileTrail‘s MyFileRoom™ provides file room staff with an overview of pending work and work-in-process,
making it easy to see what needs to be done and eliminating opportunities for human error. Entries on
MyFileRoom include retrieval requests, new files to create, overdue items, pending archival actions,
and more. Each link takes the user to a process that guides the user through work that needs to be done.
Records Center Management
FileTrail manages shelf and storage space while monitoring activity such as check-in/out at records
center sites. FileTrail also automates retrieval from and transmittal to commercial records centers,
eliminating the need to use paper forms or perform redundant task’s in the vendor’s software.
Smart Bar Coding
FileTrail incorporates “intelligent” bar coding to rapidly capture circulation transactions. This innovative
approach allows super-fast check-in and check-out using only bar codes -- no need to touch the mouse or keyboard.
In addition, bar code-driven transactions are easily completed for one Item or large batches in the most
efficient way. FileTrail configuration tools allow new items to be created using existing bar codes or a
system-generated globally unique bar code that may include prefixes and suffixes or be based on item
classification.
Security
FileTrail security provides enterprise-class control based on user accounts, groups and roles.
Authentication can be by standard challenge or automated using Windows, LDAP/AD or 3rd-party
authentication. Privileges control who may access specific functionality, while Permissions control
access to view, modify, destroy, browse or check-out based on item classification. FileTrail also
provides for Item-specific security, as well as field-level security.
Reporting
FileTrail includes a number of standard reports, as well as tools for ad hoc reporting. Standard
reports include analytical reports like Activity, Productivity, and File Plan reports, plus context-driven
reports like Pull List, Delivery List, and Re-file reports. Ad hoc reports and most analytical reports
can be downloaded as data or opened in MS Excel for further manipulation.
