UK and international law firms automate GDPR compliance with FileTrail
The FileTrail team has had a whirlwind of meetings with leading law firms in London, together with Tikit, our partner in the UK.
There is considerable excitement about our engagement with Keystone Law, which is using FileTrail GPS Policy Manager to automate compliance with GDPR requirements for document retention.
At both ILTACON Europe and NetDocuments Elevate 2019, we heard from international firms such as Hogan Lovells and Akin Gump who are already using FileTrail — as well as many UK firms that wanted to learn more.
Some of the recurring themes:
Making GDPR compliance more efficient through automation
We’ve been interested to hear how different firms have been tackling GDPR retention requirements to date. Some firms have tasked staff members with manually tracking retention deadlines in spreadsheets, hunting for relevant information assets, and chasing lawyers via email to review and approve items for disposition.
They tell us they’re very pleased that FileTrail GPS helps to automate these steps, by automatically applying the appropriate retention periods to documents when they are received or created by the firm, and triggering workflows for review and disposition when it’s time. Many have noted that this enables a much more proactive approach to managing retention and disposition — also since valuable team hours can be spent on more productive tasks.
Easier Migration paths to the cloud (and a more ‘paperlite’ future)
We heard the latest thinking on cloud adoption at the ILTACON Europe session on “How to Prepare Your Firm for a Move to the Cloud,” where there was strong consensus that law firms are now focused on the “how” rather than on the “why” (if they haven’t made the move already).
Back at our stand, the firms we spoke to were very interested to hear about how FileTrail GPS connectors for document management systems including iManage Work and NetDocuments seamlessly integrate all your documents within a single pane of glass — without moving actual content — and apply the appropriate retention policies to information wherever it resides.
In other words, whether your firm is using a DMS on-premises or in the cloud, relying heavily on file shares, and/or storing large volumes of physical records — FileTrail GPS can help centralise and simplify ongoing information management in compliance with your firm’s IG policies, your clients’ outside counsel guidelines, and other regulatory requirements including GDPR.
If you’re based in the UK and would like more information on FileTrail, contact us and we’d be happy to arrange an in-depth discussion about how we can help you address your firm’s information governance requirements.
